REGISTRATION IS OPEN!

Registration for World Masters Games 2017 (WMG2017) is officially open. With your encouragement, we know thousands of locals will embrace the chance to compete in the world’s largest multi-sport event. Please take every opportunity to spread the word about registrations being open through your networks and communities, including websites, social media, newsletters, local and international contacts. Every action will assist in our goal of attracting 25,000 athletes across our 28 sports.

A huge thanks to our Sports Delivery Partners for the effort in finalising the sport specific registration requirements and the development of each Sports Information Guide – which are now live on the sport specific pages of the WMG2017 website, with direct links from the registration system. You will notice some changes on the Games website also and we encourage you to review your sport specific pages to ensure accuracy of information.

Each Sports Information Guide was reviewed by the International Masters Games Association (IMGA) prior to release, with positive feedback and endorsement received. This information is an important piece of the puzzle for prospective Games participants in completing their registration to be part of the Games.

CUSTOMER ENQUIRIES

We expect that with the opening of registration and the release of the Sports Information Guides, the volume of email traffic from prospective Games participants with sport specific enquiries to our ContactUs@wmg2017.co.nz will increase. The WMG2017 Team will be in contact at various stages seeking your support to develop this information where it doesn’t already exist. Your prompt assistance in such instances will be important in ensuring a response can be provided to the participant from our Customer Operations Team, ideally within 48 hours of receiving the enquiry.

Now is also the time to look ahead to any additional content and information that should be considered for version 2 of the Sports Information Guide, including development of provisional schedules and other details that can assist an athlete or team to prepare for Games time.

REGISTRATION DATA

The Sports and Venues Team are currently working on a plan to disseminate sport specific data from the registration process to facilitate continued operational planning. It is important to note each sport has established different athlete targets as part of our overall 25,000 athlete KPI; and that participants in different sports are expected to register at different stages leading up to Games time, so the level of data will vary by sport. It is important that the data that will be provided remains confidential and for internal planning only.

The WMG2017 Marketing and Communications Team will coordinate any wider media coverage, including any milestones and announcement as they relate to sport specific registration. Communication directly with registered Games participants across all sports will also continue to be centrally managed by the Customer Operations Team.

Each Sports and Venues Operations Manager will discuss with their sport the core data requested to assist with the development of sport specific operational and competition plans over coming months. More information will be provided at the upcoming Sports Forums and Operational Workshops in March 2016.

SPORTS AND VENUES NEW STARTERS

As outlined in a recent email, the Sports and Venues Team has officially grown in February, with the addition of Jess Baldwin and Cormac Rabl as Sports and Venues Operations Managers and Aimee Udayam as our first student intern in a Venue Overlay and Design role. Prue Simson will also join the Team in late April as a Sports and Venues Operations Manager. Monique Lawry – who many of you will have had contact with over the past 8 months, will also directly manage a number of sports.

Collectively the Team brings a wealth of sports and venues operational experience across various major international multi-sport Games events including Olympic Games, Commonwealth Games, European Games and Pan American Games, together with various single sport World Championships and other major events.

Prior to Prue commencing in late April 2016, Kris Bird will remain the primary contact for these sports. The structure may be amended as the year progresses and leading into Games time, with the addition of some Sports and Venues Operations Coordinator roles which will join the Team in the second half of the year.

SPORTS AND VENUES OPERATIONS PLAN

A vital piece of our Games planning will be the development of a Sports and Venues Operations Plan for each sport. This document will be central not only to the planning and delivery of each sport within each Games venue, but is also core to the integration of all sport, venues and operations at the Games to ensure the delivery of a high quality and consistent Games product – in achieving our vision to deliver the best World Masters Games ever.

The Sports and Venues Team will introduce the Operations Plan template at the upcoming Sports Forum and Operational Workshops in March 2016, following which separate sessions will be set-up by each Sports and Venues Operations Manager with each sport and venue to progress the completion of the Plan.

Version 1 of each Plan will be required no later than June 2016 and these plans will be used for Games wide readiness and testing exercises. Please ensure that sufficient time and resource will be available between March and June 2016 to facilitate this key planning document from your organisation.

VOLUNTEER PROGRAMME

We are fast approaching the ‘go live’ date for the Volunteer Application Portal and within next week, each Sports Delivery Partner will receive a specific ‘volunteer recruitment toolkit’.

This will include some practical tools to help you promote volunteering at WMG2017 to your communities, along with the endorsement codes (if you’ve opted that volunteers will complete their application directly) or excel template (if you’ve opted to collected data from volunteers on our behalf).

The public ‘go live’ date is Tuesday 15 March 2016, however there will be some direct communications to a small number of engaged volunteer groups from 29 February 2016, in order to test the system and our processes.

As part of the upcoming Sports Forum and Operational Workshops in March, we’ll provide a full overview of the volunteer recruitment toolkit and some key upcoming milestones. LOOKING AHEAD

  • Sports Forum and Operational Workshops:

All sports and venues stakeholders should have the dates for the next Sports Forum and Operational Workshops across Tuesday 15, Wednesday 16 and Thursday 17 March 2016. Each stakeholder is only required to attend one day and it is ideal if sports and related venues can aim to attend on the same day where possible. More information will be provided over the coming weeks by Monique Lawry.

  • Sports Delivery Partner Board Roadshow:

As outlined in the last edition of the Sports Bulletin, an opportunity exists for a member of the WMG2017 Board and Executive Team to attend the Board meeting of each Sports Delivery Partner. The purpose of the proposed visit is to connect with the directors of each of our 28 Games sports as we enter the final 12 months of our partnership.

  • One Year to Go:

This milestone and celebration is fast approaching. This will be another key time to actively promote the Games and the opportunity to register across your networks. More information will follow in coming weeks about activities and events during the window 21 – 30 April 2016, as we look ahead to the Games next year.
